You're already on the net, so you already have an email address.
So why do you need Room101's email hosting?
Putting up a web site makes a statement about your company, and shows
that you're investing in the infrastructure to find new customers and to
deal with your existing customers more efficiently. It's important that
the impression you create with your internet presence is a good one - you
want your customers to think that you're a 21st Century company which has
understood the internet and embraced its potential, not that you're dabbling
and experimenting on the net.
We've seen companies who publish email addresses such as the following on
their web sites :
- smithandpartn@hotmail.com
- joe@bloggslimited.freeserve.co.uk
- timjonesltd@aol.com
Not to denigrate the services provided by Hotmail, Freeserve and AOL, but it
can't be denied that they often give the wrong impression for a business, and are usually
associated with private individuals, not companies.
Also, publishing an email
address such as the above, effectively locks you into using that internet
provider, because if you were to change, you'd be faced with the necessity
of reprinting all your business cards, letterhead and compliment slips (not to
mention brochures, or other expensive publicity materials). Sure, your current
choice of internet provider may well be the best in the business today, but
surely you want the freedom to move at some point in the future, regardless of
other factors. Also, if you don't need more that one email address today, what
about in future? And what about your team member who works from home or on the
road, and rarely drops into the office?
Room101's Email Hosting facility says "If you've registered your own domain
name, why not use it for your email addresses as well as for your web site.
Compare the email addresses above, with the ones below.
- enquiries@smithandpartners.com
- joe@bloggs-limited.co.uk
- sales@timjones.ltd.uk
Our Email Hosting service offers you unlimited email addresses for a single price.
Unlike our rivals, we do not make you pay for each email address you want to use.
Many mainstream internet providers will bounce an email which they do not recognise.
So if someone mis-spells your name, or tries making up an email address such as
"sales@" when you didn't tell your internet provider you wanted that one, the
sender of the email gets a confusing message from "MAILER-DAEMON" saying something
like "Mail Not Delivered: Unknown User". We
believe that bouncing ANY emails is inappropriate in a business scenario. Would
you expect the person who opens your post in the morning to put "Return to Sender"
on an envelope just because the writer mis-spelled your name?
Because your new email addresses are based on YOUR domain name, YOU will always
own them. It means you can take them with you if you decide to change internet
provider in the future.
How does it work? It's rather like having a "PO BOX". Any emails sent to an
address based on your domain name, will be immediately and invisibly
sent on to your current email address. Or if you prefer, we can provide you with
a mailbox on our server from which you can collect your mail directly. Sending
mail? You can usually carry on sending mail through your internet connectivity
provider (*although see below).
What email software do we recommend? The chances are you can continue to use
the same email software. Room101's Email Hosting service is built on standard
internet technology, and you can use one of the following :
- Microsoft Outlook (comes with Microsoft Office)
- Microsoft Outlook Express (free to download)
- Qualcomm Eudora (free to download)
- Netscape Communicator (free to download).
There are small number of so-called "Legacy" internet providers whose email systems are
not fully compatible with the rest of the internet. If you are using one of these
providers, please call us for advice before placing your order.
